Why meetings are humanity's largest untapped knowledge source

Here is an uncomfortable accounting exercise. Take any organization and estimate the hours spent in meetings. Then estimate what fraction of what was said survives in any usable form.

The first number is enormous. Estimates put it at tens of millions of meetings per day worldwide. The second number rounds to zero: a calendar entry, sometimes a summary written by the most junior person in the room, action items copied into a tool where they go to die.

Now consider what actually happens in those meetings. Decisions get made, but more importantly, reasons get made. Someone explains why the obvious approach will fail. Someone shares context that exists nowhere else. Someone changes their mind out loud, and the room learns why. This is the highest-density knowledge transfer an organization does, and it is treated as exhaust.

Documents are the fossil record

Every knowledge management effort I have seen (wikis, handbooks, Confluence gardens) shares one assumption: knowledge lives in documents. But documents are the fossil record of knowledge, not the living thing. They record conclusions after the reasoning is gone.

Six months later, someone asks: why did we choose this vendor? why did we kill that feature? The document says what was decided. The why lived in a conversation, and the conversation is gone. So the organization re-derives it in another meeting, which also evaporates. Institutional amnesia is not the absence of memory. It is memory that was never written to disk.

I saw this pattern from the inside while building AI systems for enterprises. The retrieval systems worked. The problem was upstream: the corpus itself was missing the most valuable layer. We were indexing fossils.

Why now

Two things changed, roughly simultaneously.

First, speech recognition quietly crossed the threshold where transcription stopped being the bottleneck. Every meeting can now be text, cheaply and accurately, in real time.

Second, and this is the part that matters: language models made unstructured knowledge computable. A transcript used to be write-only storage: technically searchable, practically useless. Nobody re-reads ninety minutes of talk. But a system that can read the transcript, extract the decisions, link them to the reasoning, and connect them to the people and the prior decisions they build on turns talk into structure. Not a recording. A memory.

The raw material was always there. What changed is that machines can finally refine it.

The privacy line

A system that listens to an organization's conversations is either its most valuable asset or its most dangerous liability, and the difference is architecture. Consent, data boundaries, and control over what is remembered cannot be features added later. They are load-bearing. I think the companies that win this space will be the ones that treat memory as something an organization owns, not something a vendor accumulates.

The bet

My bet with Transcibe is simple to state: the organizations of the next decade will have a memory, and the ones that do will compound knowledge the way capital compounds. Every decision traceable to its reasoning. Every new hire able to ask "why is it like this?" and get an answer instead of a shrug.

Meetings are not a waste of time. They never were. Wasting what they produce, that is the waste.
